This Privacy Policy explains what personal information LejaHQ collects, why we collect it, and what we do with it. It covers our website and the LejaHQ platform.
Because LejaHQ is used to run billing, accounting, HR and payroll, we handle two kinds of information: information about our customers, and information our customers put into the platform about their own staff and clients. Our role differs in each case, and that is set out below.
1. Legal framework
We operate in Fiji. The right to personal privacy is protected by section 24 of the Constitution of the Republic of Fiji 2013. Our handling of information is also shaped by obligations that arise under Fijian law generally, including the Employment Relations Act 2007, the Fiji National Provident Fund Act 2011, the Tax Administration Act 2009 and the Companies Act 2015, and by the confidentiality duties we owe our customers under contract.
Where a customer’s own obligations extend beyond Fiji, we will work with them to meet reasonable additional requirements.
2. What we collect
Account information — name, business name, email address, telephone number, role, and billing details.
Usage information — log data such as IP address, browser type, pages viewed, and the dates and times of access. We use this to keep the Service secure and working.
Customer Data — the records you enter into the platform. This can include employee names and contact details, salary and wage information, FNPF and tax identifiers, leave and attendance records, customer and supplier details, and invoices and payments.
Enquiries — anything you send us through our contact form or by email.
3. Our role in relation to Customer Data
Where a business uses LejaHQ to hold records about its staff or clients, that business decides what is collected and why. We hold and process that information on its instructions, to provide the Service. We do not sell it, and we do not use it for our own marketing.
If you are an employee or client of a business that uses LejaHQ and you want to see or correct information held about you, please contact that business directly. If you contact us, we will refer you to them.
4. Why we use information
To provide and support the Service; to authenticate users and protect accounts; to bill and collect fees; to detect and prevent fraud, misuse and security incidents; to improve reliability and performance; to communicate about service changes, outages and support requests; and to meet our own legal and regulatory obligations.
5. When we share information
We share information only where it is necessary: with service providers who help us run the platform, such as hosting, backup, email delivery and payment processing, and who are bound to protect it; where you ask us to, or where you connect a third-party service; where the law requires it, including a valid order from a court or a Fijian authority; and to establish or defend legal claims, or protect the safety of people or systems.
We do not sell personal information.
6. Where information is held
Our infrastructure and some of our providers may be located outside Fiji. Where information is transferred or stored overseas, we take reasonable steps to ensure it is protected to a comparable standard by contract and by the security measures described below.
7. Security
We use encryption in transit, access controls and role-based permissions, logging, and regular backups. No system is completely secure, but if a breach occurs that is likely to cause serious harm, we will notify affected customers without undue delay and tell them what we know and what we are doing about it.
8. How long we keep information
We keep Customer Data for as long as your account is active. After termination we retain it for a limited period so you can export it, then delete or anonymise it.
Some records must be kept longer because Fijian tax, employment and company legislation requires it. Where that applies, we retain only what is necessary for the required period. You remain responsible for meeting your own retention obligations, and should confirm the applicable periods with your accountant or adviser.
9. Access, correction and complaints
You can ask us what personal information we hold about you, ask us to correct it if it is wrong, ask for a copy of your data in a usable format, or ask us to delete information we no longer need to keep. Write to [email protected] and we will respond within a reasonable time.
If you are not satisfied with how we have handled a privacy concern, tell us first so we can put it right. You may also raise it with the Consumer Council of Fiji or another appropriate Fijian authority.
10. Cookies and analytics
Our website uses cookies to keep the site working, remember preferences, and understand how the site is used. You can control cookies through your browser settings, though some parts of the site may not work properly without them.
11. Children
The Service is intended for business use and is not directed at children. We do not knowingly collect information from a child other than as part of records a customer holds as an employer.
12. Changes to this policy
We may update this policy. Where a change materially affects how we handle personal information, we will give reasonable notice. The date at the top shows when it was last revised.
